Visitor management & check-in/out
Is check-in or self-check-in available?

Check-in or self-check-in is possible.

Can I test veasy in advance before I commit myself?

Yes, as part of a limited offer, you can use veasy for six months free of charge and without a contract, test all the functions of the Basic tariff and try it out in real operation.

Is a check-out or self-check-out available?

A check-out or self-check-out is possible.

Is there a real-time query of who is on the company premises?

Yes, a real-time query about who is currently on the company premises is possible. The current visitors can be viewed at any time using special filters. The data can also be exported if required.

Is it possible to import data for large numbers of visitors into the visitor management system?

Data can be imported using a CSV file.

Is it possible to import or export group prenotifications?

There are import options for two user types: Visitors and employees, each as a CSV file.

Is it possible to export pre-notifications as well as import them?

All past and upcoming visits can be exported, and it is possible to filter by criteria such as date, company, reason for visit or “Invited” status.

Data protection & compliance (GDPR)
Is veasy GDPR compliant?

Access to the visitor list is strictly protected. Unauthorized third parties have no access to the recorded data, which guarantees confidentiality at all times

Can visitors receive a GDPR-compliant invitation email with information on accessing and storing personal data?

Yes, the visitor must register and accept the terms of use and privacy policy.

Is the activation of a visitor only carried out after consent to the storage of their data?

Visitors are only activated if they have expressly consented to the storage of their data.

Are the retention periods and the deletion obligation implemented in accordance with the specifications?

The implementation of the retention periods and the deletion obligation is guaranteed.

Is the deletion of data carried out automatically?

Deletion is currently still done manually, but in future it will be automated by script.

Documents, reporting & analysis
Is there a digital guestbook?

Yes, there is a digital visitor book. All visits can be filtered and exported if required. This enables clear management and evaluation of visitor data.

Is it possible to provide company documents via veasy?

Company documents, guidelines, GDPR information and other documents can be made available via veasy.

Can proof of acknowledgement of the guidelines be provided, e.g. by a digital signature or confirmation by e-mail?

Acceptance of the guidelines can be verified by a digital signature. In these cases, a confirmation email will be sent with the signed documents.

Are easily analyzable reports offered, e.g. in CSV format?

CSV exports are possible so that the data can be easily analyzed.

Are there evaluation options for energy management?

Evaluations of visitors are possible in CSV format. If your energy management system can import these, the requirement should be met.

Technical integration & individualization
Is the software available in the cloud?

Veasy is offered as SaaS (Software-as-a-Service) and is therefore available in the cloud.

Is it possible to customize the software?

All messages to visitors can be customized.

Is there a Microsoft Outlook integration?

Integration with Outlook is not yet available. However, implementation is already on the roadmap for future updates.

Is the software offered in several languages?

The software supports multilingualism.

Can the visitor attribute fields be customized?

There are only comment fields that can be used.

Are there any restrictions on the visitor attribute fields? How many fields can be added? Is it possible to deactivate predefined fields or define different fields per visitor role?

The “Reason for visit” drop-down field can be configured individually, and any text can be written in the “Host” and “Porter” comment fields. The number of fields per visitor role is always the same, and no fields can be deactivated or additional fields defined per visitor role.

Is single sign-on possible via Entra?

No.

Is the backend multilingual?

All languages that are also available in the front end can be set. However, some configuration fields are only available in English.

What hardware is required for reception and special access solutions?

Standard hardware can be used for reception: a tablet for visitor registration, an iPad for the doorman and meeting rooms and a label printer for visitor badges. If electronic locks or turnstile controllers are also to be integrated, we offer a preconfigured controller.

Can customer-specific requirements be taken into account in the veasy Enterprise version?

Yes, in the veasy Enterprise version, customer-specific requirements can be taken into account.
